What’s the quickest way to start sending cheques?

Getting started is fast. Our cloud platform needs no downloads, and we aim to validate and activate new accounts the same day. If you’re uploading by CSV, you can begin mailing cheques immediately after activation, with no software to install.

Walk me through how PaymentsNow handles a cheque run.

You send us your payment data by CSV file or a direct integration. We print each cheque on the correct template for that bank account, then securely process and mail it to your payee. Along the way you receive delivery updates, detailed reports, and a Positive Pay file you can hand to your bank.

Which systems can I connect for payment data?

You can integrate by CSV upload, REST API, or a direct QuickBooks Online sync. For higher-volume operations we also support custom pipelines such as SFTP. Reach out and we’ll map the right connection for your stack.

Cheques, Documents & Delivery

Can I brand cheques and send documents with them?

Absolutely. You can brand both the cheque and the stub with static elements like logos or fixed notes, plus dynamic fields such as payment details, invoice numbers, and recipient-specific information. You can also attach supporting documents to be mailed alongside each cheque.

What cheque stock and formats do you print on?

We print on proprietary high-security cheque stock featuring tamper-resistant elements and bank-compliant MICR printing. Two paper formats are available — laser three-fold cheques and pressure-seal cheques — both engineered for secure, efficient payment processing.

Where do my cheques get printed and posted?

Canadian cheques are printed and mailed from our secure Calgary fulfillment facility for efficient, trackable delivery across the country, with cross-border mailing available where you need it.

What are the delivery timelines and carriers?

Cheques approved before our daily cut-off on business days are mailed the same day. Your delivery options include:

  • Canada Post lettermail: typically a few business days nationwide.
  • Expedited shipping: faster, fully tracked service through UPS, FedEx, or Purolator.
  • Other tracked options: additional Canada Post choices with tracking are available.

Exact shipping costs are calculated live at the moment you place your order.

What reporting and tracking come with each cheque?

Each mailed cheque carries tracking that shows the projected arrival window and the confirmed delivery date, flags returned mail the moment it happens, and feeds a full payment report. A Positive Pay file is also generated for you to submit to your bank as an extra layer of fraud protection.

How do you keep my payments and data secure?

We apply bank-grade safeguards throughout. PaymentsNow is SOC 2 Type 2 attested, HIPAA aligned, and built to GDPR-level privacy expectations. Traffic is protected with TLS 1.3 and data is encrypted with AES-256, backed by fraud-prevention tooling and strict role-based access. Cheques are produced inside monitored, access-controlled facilities with automated handling that limits human exposure.

Can my whole team work in one account?

Yes. PaymentsNow is designed for multiple teams and departments to manage cheque payments in the same account. It supports unlimited bank accounts and custom cheque templates, and each user is assigned access controls based on their role so you can enforce separation of duties. Issuing accounts can be structured by bank, company, or department, letting different teams collaborate while keeping clear boundaries and workflows.
