PaymentsNow (“PaymentsNow”, “we”, “us”, or “our”) operates this website and provides cheque printing, mailing, and payment services (together, the “Service”). We respect your privacy and handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. This policy explains what we collect, why we collect it, how we use and protect it, and the choices and rights available to you.

By using the Service, you consent to the collection, use, and disclosure of your personal information as described here. Terms not defined in this policy carry the meaning given to them in our Terms & Conditions.

Accountability

PaymentsNow is accountable for the personal information in our custody and control, including information we transfer to third parties for processing. We have designated a Privacy Officer who oversees our compliance with this policy and with Canadian privacy law. Contact details appear at the end of this page.

What We Collect

We limit our collection to what is reasonably necessary to deliver and improve the Service. The information we gather falls into two broad groups:

  • Personal information. Details that identify you, such as your name, business email, telephone number, company name, job title, billing details, and the banking or payee information you submit so we can produce and mail cheques on your behalf.
  • Non-identifying information. Technical and usage data such as the pages you view, how often and how long you use the Service, your approximate location, device and operating system, browser type, and connection details.

Why We Collect and Use It

We identify the purposes for collection at or before the time we collect your information, and we use it only for purposes a reasonable person would consider appropriate. Those purposes include:

  • Setting up and administering your account and delivering the cheque printing, mailing, and payment services you have requested.
  • Providing technical and customer support and responding to your enquiries.
  • Maintaining, evaluating, and improving the Service and understanding how customers use it.
  • Managing our business operations and meeting our internal policies and recordkeeping obligations.
  • Detecting, investigating, and preventing fraud, abuse, and security incidents, including verifying identity and guarding against unauthorized or unlawful activity.
  • Sending you service-related notices and, where you have consented, relevant updates about our offerings.

Consent

We obtain your consent to collect, use, and disclose your personal information, except where the law permits or requires us to act without it. Depending on the sensitivity of the information, consent may be express or implied. You may withdraw consent at any time, subject to legal or contractual limits and reasonable notice — though doing so may mean we can no longer provide parts of the Service. Disclosure and Service Providers

We do not sell your personal information. We may share it with trusted third-party suppliers — for example, mailing and courier partners such as Canada Post, UPS, FedEx, and Purolator, payment processors, and cloud hosting providers — strictly so they can perform services on our behalf. These providers may access your information only to carry out their assigned tasks and are contractually required to protect it and not use it for any other purpose. We may also disclose information where required by law, court order, or subpoena, or to protect our rights and the safety of others.

Transfers Outside Canada

Some of our service providers may store or process information in other countries. Where that happens, your information may become subject to the laws of those jurisdictions, including lawful access by foreign authorities. We take reasonable steps to ensure any provider gives your information a comparable level of protection to that required under Canadian law.

Log Data

We use Log Data to operate, secure, and improve the Service.

Children’s Privacy

The Service is intended for businesses and is not directed at individuals under the age of 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us and we will delete it from our records.
